The CAPEX module tracks capital expenditure for your department — replacement purchases, infrastructure upgrades, and major investments. Unlike P&L (which covers operational spending), CAPEX covers items that are capitalized and tracked over their useful life.
What You Can Do
- Track current year CAPEX items: budget vs. actual spending
- Plan next year’s CAPEX proposals with justifications and priorities
- Build a 10-year replacement forecast for long-life assets
- Monitor status of each item (Planned, In Progress, Purchased, Cancelled)
- Export all CAPEX data to Excel
Three Layers of CAPEX
ITMKit organizes CAPEX into three views:
| Layer | Purpose |

| Current Year | Approved items for this year — track budget vs. actual |
| Next Year | Proposals for the upcoming year — submit by May annually |
| 10-Year Forecast | Long-term replacement planning for recurring items |
Use the tabs at the top of the CAPEX page to switch between layers.

Current Year — Tracking Approved Items
This view shows all approved CAPEX items for the current year.
Fields:
- Item Name — description of what is being purchased
- Category — type of expenditure (configurable by admin)
- Budget Amount — approved budget for this item
- Actual Spent — amount actually spent (enter when PO is raised)
- Status — Planned / In Progress / Purchased / Cancelled
To update an item:
- Click the item row.
- Update the actual spent amount or status.
- Click Save.

Next Year — Submitting Proposals
Use this view to build your CAPEX proposal for the next year, typically submitted in May.
Fields:
- Item Name — what you are requesting
- Category — type of item
- Estimated Cost — expected purchase price
- Priority — Must / Should / Nice to Have
- Justification — reason for the request
To add a proposal:
- Click + Add Item.
- Fill in the fields.
- Click Save.

10-Year Forecast — Lifecycle Planning
The forecast view helps plan replacements for long-life assets like servers, switches, and UPS units.
When you add an item with a replacement cycle (e.g. every 5 years), ITMKit automatically generates forecast entries for future replacement years across the 10-year window.
Fields:
- Item Name — asset to be replaced
- Category — type of asset
- Quantity — number of units
- Unit Price — estimated cost per unit
- Replacement Cycle — how often it needs replacing (years)

Export to Excel
- Click Export.
- Select the layer (Current, Next Year, or Forecast).
- The file downloads with all items and amounts.
